Chapter 4 of 12
Time & Attendance
Clock-in methods, biometric devices, timings, penalties, location rules and corrections.
Employees clock in and out from the mobile app, the employee portal or a biometric device. Admins see everyone's day under Time & Attendance; employees see their own under Attendance.
How employees clock in
Each branch picks one method under Configuration → Face Verification:
| Method | How it works |
|---|---|
| Manual Only | Tap Clock In / Clock Out in the app or portal |
| Face Only | The app takes a selfie and matches it. Employees must register their face in the app first. A failed match is rejected. |
| Biometric Only | Employees punch on a biometric device. App and portal clock-in are blocked unless an employee is given an exception. |
For Face Only, the Face Match Threshold sets how strict the match is. The default is 0.6 and 0.75 is recommended.
Biometric devices
The HRBloom desktop app runs on a Windows PC in your office and sends device punches to HRBloom.
- Step 1: Install and open the HRBloom desktop app.
- Step 2: In Settings, enter your Organization ID and API Key, then click Save HR Config.
- Step 3: Add each biometric device in the desktop app. The details it asks for depend on the device.
Keep the PC switched on and connected during working hours.
Using a device that is not connected yet, or a cloud based device that can connect straight to the HRBloom API? Tell us the device model and we will help you integrate it.
Office timings and working hours
Set under Configuration → Clock-In and Clock-Out Type for each branch:
- Flexible Time: no fixed start; hours worked are counted.
- Fix Time: a company clock-in and clock-out time. You can set a separate time for female employees.
With Fix Time, Count working hours from decides whether early arrival counts:
- The employee's clock-in: every minute counts, so arriving early can earn overtime.
- The company clock-in time: time before the office start is not counted.
Hourly-paid employees are not affected by this setting.
Late and early penalty
With Fix Time you can set a Penalty Setting for each branch:
- Last Clock-In Time and Last Clock-Out Time, separately for male and female employees
- Monthly Limit: how many late or early days are allowed per month before a penalty starts
- Penalty Amount Multiplier: 1× to 5× salary deduction once the limit is passed
The penalty applies only to employees whose Time Violation Penalty switch is on.
Location rules
Attendance Geo-Restriction blocks check-in and check-out within a set distance of the employee's registered address, so people cannot mark attendance from home. The default radius is 200 m.
- Step 1: Turn it on under Configuration → Attendance Geo-Restriction and set the radius.
- Step 2: For each employee, open their Attendance page, click Set Registered Address, and turn Geo-Restriction on.
Biometric device punches are not affected. Attendance Map shows where check-ins happened.
Missing clock-out and auto leave
- Mark Absent on Missing Clock-Out: a working day with a clock-in but no clock-out counts as Absent, with the reason "Missing Clock-Out". It clears as soon as the clock-out is filled in. Holidays and weekly offs are skipped.
- Auto Leave: if an employee works less than the minimum hours for a full day or half day, HRBloom adds a full-day or half-day leave for them. These leaves are marked as system-generated.
Both can be switched off for one employee from their Attendance page. Hourly-paid employees are excluded from auto leave and penalties.
Fixing a wrong entry
Employees can ask for a correction instead of calling HR:
- Step 1: The employee opens Attendance, finds the day and clicks Request attendance correction.
- Step 2: They enter the correct clock-in or clock-out time and a reason.
- Step 3: The admin opens Time & Attendance → Attendance Corrections and approves or rejects it. A remark is required to reject.
- Step 4: The employee tracks the request under Attendance → My Corrections.
