Chapter 6 of 12

Payroll

Payroll settings, the monthly run, checking any figure, allowances, loans and reports.

HRBloom builds each month's salary from attendance, leave, overtime, allowances, loans and penalties. You run it once the month has ended, check it, then approve it and mark it paid.

Before your first run

Under Payroll → Settings, set up:

  • Pay Schedule: when your pay period starts and ends
  • Salary Components: earnings and deductions such as Basic or HRA
  • Salary Structures: how a gross salary splits into those components
  • Overtime Policy: how overtime is paid, including a daily cap
  • Payslip Settings: what the payslip shows

Every employee also needs a salary record (see Employees → Salary). Anyone without one is left out of the run and marked "No Structure".

Run payroll

  1. Preview during the month
  2. Run Payroll after month end
  3. Draft: fix at source, then Recalculate
  4. Approved
  5. Paid
  1. Step 1: Open Payroll → Run Payroll and pick the month. You can filter by branch; leave it empty for all branches.
  2. Step 2: While the month is still running, click Preview Payroll to see how it is shaping up. A run can only be created after the month ends.
  3. Step 3: Click Run Payroll. HRBloom creates a Draft with a line per employee.
  4. Step 4: Check the figures. Click any figure to see how it was reached (see below).
  5. Step 5: Click Mark as Approved, then Mark as Paid once salaries are transferred.

If attendance, leave, salary or settings change after the draft was made, HRBloom asks you to Recalculate before you can approve. A draft can also be deleted and run again.

Check a figure and fix it at the source

Click Paid Days, Leave, Overtime, AWOL, Penalty or Net Pay on any employee's line. A side panel opens and lists every day behind that number, with the reason for each.

You cannot type over a payroll figure. Correct the cause instead, from the same panel where possible:

If the figure is wrong becauseDo this
A day's attendance is missingAdd the clock-in and clock-out for that day
A leave is wrongEdit the leave's dates or type, or delete it, with a reason
An overtime day should not be paidReject that day, or restore it later
A late-coming penalty should be excusedWaive that day's penalty
An absent (AWOL) day should be paidRestore that day

Each change records who made it. Then click Recalculate on the draft.

If an employee is leaving, finish their Final Exit first. Payroll will not run for them until the exit is complete.

Allowances, loans and overtime

  • Allowances: one-off or monthly amounts such as travel. Pending ones need approval before payroll includes them.
  • Loans & Advances: give a loan and set a monthly EMI, which is deducted automatically. An EMI can be skipped for a month.
  • Overtime: review and approve overtime entered by hand.

Payslips and reports

  • Employees download payslips from My Payslips in the portal or app.
  • Payroll → Reports has summary, CTC, annual cost, employee-wise, yearly, attendance sheet, overtime, penalty and loan reports.
  • Payroll → Analytics shows payroll cost trends.
